Crews4U Privacy Policy
To enforce one complimentary posting per business, we verify email addresses and compare normalized business names, phone numbers, website domains and locations. We keep private verification decisions and hashed redemption identifiers after account closure or deletion to prevent repeat claims. These identifiers are not anonymous. Network hashes are short-term review signals; shared networks alone do not determine business eligibility. Contact support to appeal a mistaken match.
Effective Date: October 31, 2026
This Privacy Policy explains how Crews4U LLC (“Crews4U,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use the Crews4U website, accounts, employment marketplace, hiring tools, communications features, and related services (collectively, the “Service”).
By using the Service, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
The information Crews4U collects depends on how you use the Service.
Account Information
We may collect information such as your name, email address, phone number, account role, password-related authentication information, email-verification status, account-security information, and account settings.
Passwords are stored using a password hash rather than as readable plaintext passwords.
Candidate Profile and Résumé Information
Candidates may provide information including city, state, ZIP Code, professional headline, professional summary, years of experience, skills, certifications, availability, willingness to travel, trade interests, contact information, and résumé files.
Résumés may be stored by Crews4U so they can be associated with a candidate's profile and made available as part of the application and hiring process.
Employer and Company Information
Employers may provide company information including company name, website, industry, company size, year founded, phone number, LinkedIn company page, company description, city, state, ZIP Code, company logo, and information concerning company users and administrators.
Agency Clients and Recruiter Tasks
Agency accounts may store private client-company names, business phone numbers, owner names, hiring-contact names, phone numbers and email addresses, business addresses, websites and notes, client-to-job relationships, recruiter assignments, hiring-arrangement labels, disclosure preferences and confirmations, and team tasks. Task records include titles, notes, assignees, related jobs, due dates, completion states, creation and update times, and submission identifiers used to prevent duplicate saves. Authorized agency hiring-team users can access these records; client companies do not receive account access merely because an agency creates a client record. Do not include unnecessary sensitive candidate information in client or task notes.
Job and Application Information
We collect information associated with jobs and applications, including job titles, descriptions, locations, compensation information supplied by employers, job classifications, employment type, application messages, applicant contact information, résumé references, and application status.
Messages, Screening, and Interview Information
When candidates and employers use Crews4U hiring communications, we may store messages, screening questions and answers, interview requests and responses, interview dates and times, time zones, interview types, and interview details.
Saved Jobs and Job Alerts
We may store jobs you save and job alerts you create. Job alerts may include criteria such as a trade, ZIP Code, search radius, and whether the alert is active.
Location Information
Crews4U may process location information supplied by users, including city, state, ZIP Code, and geographic coordinates associated with users or job locations. This information may be used to provide location-based job search, matching, distance, service-radius, and related marketplace functionality.
Billing and Transaction Information
When an employer purchases a plan or job slot, or a candidate purchases Candidate Pro, Crews4U may maintain transaction and entitlement information such as the selected plan, subscription status, purchased job-slot expiration dates, Stripe customer identifiers, Stripe subscription identifiers, Stripe price identifiers, and checkout-session identifiers.
Payment transactions are processed through Stripe. Crews4U does not need to store full payment-card numbers in its application database in order to maintain these billing and entitlement records.
Reports and Moderation Information
If content or a user is reported, we may collect the report reason, report details, the type and identifier of the reported content or account, moderation status, administrator review information, and information relevant to investigating and resolving the report.
Technical, Security, and Usage Information
We may process technical and security information necessary to authenticate users, maintain sessions, apply rate limits, prevent abuse, diagnose errors, protect the Service, and operate website functionality. Depending on the technology involved, this may include browser or device information, request information, security events, session information, and similar operational data.
Hiring Activity and Analytics
We record signed-in activity for relative last-active indicators and signed-in candidate job-card views for hiring analytics. Job views are counted at most once per candidate, job and UTC day. Employers receive aggregate view and conversion statistics, without a list of viewers. Reply statistics use employer messages, screening questions and interview invitations; public percentages are shown only when at least five applications are available in the reporting period. Monthly employers receive reminders about unanswered applications. Job-view records are included in account exports and removed when your account is deleted.
Candidate Discovery and Saved Searches
We store candidate employer-discovery and separate agency-discovery choices. For opted-in eligible candidate profiles, without a Pro purchase requirement, employer searches may show professional information such as skills, qualifications, trade interests, location, experience and availability. Directory results exclude profile photos, email addresses, telephone numbers and uploaded résumé files. Applying directly to a job shares application information with that job's hiring team regardless of discovery settings. We also store employer saved-search names, criteria, alert preferences and last-check times, job-opportunity snapshots, match reasons and company-scoped candidate contact history.
Feedback and Administrative Records
Tester feedback may include descriptions, page URLs, screen names, browser information and viewport size. We also maintain access restrictions, moderation records, pricing history, administrative audit records and operational delivery or billing-event records to support security, support and accountability.
2. How We Use Information
Crews4U may use information to:
- create, authenticate, verify, maintain, and secure accounts;
- provide candidate profiles and employer company profiles;
- provide job search, matching, saved-job, and job-alert functionality;
- allow candidates to submit applications and résumés;
- allow employers to review and manage applicants;
- provide messages, screening tools, interviews, and application-status features;
- send account, application, message, interview, job-alert, billing, security, and other service communications;
- provide employer subscriptions and job-slot entitlements;
- process and reconcile transactions through payment providers;
- detect, investigate, and prevent fraud, abuse, spam, security incidents, and violations of our Terms;
- review user reports and moderate the Service;
- troubleshoot, maintain, secure, and improve the Service;
- maintain business and transaction records; and
- comply with applicable legal obligations and enforce our agreements.
3. Applicant Information Shared With Employers
When a candidate applies for a job, information associated with that application may be made available to the employer responsible for the posting. This may include the candidate's profile information, contact information, résumé, application message, qualifications, skills, certifications, availability, and information generated through subsequent hiring communications.
Employers that receive candidate information are responsible for using and protecting that information in accordance with applicable law and their own legal obligations.
For agency postings, the agency's authorized hiring team receives the application. Creating a private client record or enabling agency discovery does not automatically send candidate contact details or résumés to that client. Agencies must have an appropriate lawful basis and any required candidate permission before independently sharing candidate information with clients. Publicly visible job details identify agency listings and their hiring arrangement; a client's name in job-level structured fields is shown to signed-in users only when the agency enables job-level disclosure. Agency profile client names require a separate permission confirmation.
4. Company Users and Administrators
Employer accounts may be associated with a company and may include company administrators and additional authorized users. Information associated with company hiring activity may be accessible to authorized users of that company according to their permissions and Crews4U's access controls.
Public Jobs and Calendar Tools
When a Company Admin enables public publishing, company names and active job titles, descriptions, pay and general locations appear on public job pages and embedded careers widgets and may be indexed by search engines. These pages exclude candidate information and agency client names from structured fields. Employers must avoid including private information in public job descriptions. We store the publishing choice and confirmation time. Qualification timestamps and the marking recruiter are stored for private hiring assessments and outcome reporting.
Calendar exports contain job titles, company names, appointment times and application links, without candidate contact details or automatic invitations. If you choose a Google Calendar or Outlook link, that information is passed to your chosen provider. Calendar copies do not automatically synchronize with subsequent changes on Crews4U.
5. Service Providers
Crews4U LLC uses third-party service providers to operate portions of the Service. Depending on the service provided, these providers may process information on our behalf.
Categories of providers may include hosting and application infrastructure, database services, payment processing, email delivery, security services, and artificial intelligence services.
Optional Careerjet Job Search
When you select Search Careerjet or request another page of its results, we send Careerjet your search terms, ZIP Code and general search location, radius, IP address, browser user-agent and search-page reference. Requests pass through Fixie, our fixed-address network service, using an encrypted connection. We do not send your Crews4U account profile, résumé, applications or messages with this search. We keep short-lived hashed network identifiers and request counters to limit misuse and service usage; these identifiers are pseudonymous, not anonymous.
Careerjet supplies external listings and application links. Following a link takes you to Careerjet or another source website, whose privacy practices apply. Employers shown in these results may not have a Crews4U account. External applications are not submitted to or tracked in your Crews4U account, and external results are not included in Crews4U saved-job or email-alert features. Careerjet Privacy Policy.
Stripe
Crews4U uses Stripe for payment processing, checkout, subscription management, and related billing functions. Information necessary to complete and manage a transaction may be transmitted to or processed by Stripe. Stripe's handling of information is also governed by its own privacy practices.
OpenAI and Crewbie Moderation
Crews4U uses OpenAI technology as part of Crewbie's artificial-intelligence-assisted moderation functionality.
When an authorized Crews4U administrator requests a Crewbie analysis of a user report, information relevant to that report may be sent to OpenAI for processing. This may include the report type, report reason, report details, report date, identifiers associated with the reported material, and relevant context concerning the reported job, user, message, or other content being reviewed.
Crewbie is used to assist human administrators in evaluating reported content. It does not make hiring decisions and is not intended to make final enforcement decisions. Human administrators remain responsible for moderation decisions.
Optional Crewbie Profile Drafting
When you expressly choose the optional AI profile tool, provided notes and selected saved professional profile fields are sent to OpenAI for processing. The tool excludes account passwords, uploaded résumé files and profile contact details from the saved-profile fields sent for drafting; information you type into notes may still be sent. Avoid unnecessary sensitive or confidential information. Drafted sections are shown for review and are saved to your profile only after you select and confirm them. We maintain usage counters and timing information to enforce limits. OpenAI's processing is subject to its applicable service terms and data practices; this policy does not promise that every provider record is immediately deleted.
6. Communications and Notifications
Crews4U may send communications necessary to operate the Service, including email-verification messages, password-reset messages, application confirmations, employer application notifications, and other account or service-related communications.
Crews4U may also provide in-platform notifications concerning applications, messages, screening, interviews, offers, job alerts, and system events.
Employer response-reminder emails are optional and can be controlled in notification settings. Saved candidate-search alerts are in-platform alerts. Early-access confirmation and one-time launch announcement emails include an unsubscribe link for launch-list communications. We store the signup email, consent or unsubscribe state, and launch-email queue status, delivery-attempt count, provider acceptance identifier and timestamps to manage delivery, avoid duplicates and handle failures. Email-provider acceptance does not guarantee inbox delivery. Turning off optional messages does not stop essential account-security or transaction communications.
7. Cookies and Similar Technologies
Crews4U may use cookies or similar browser technologies when necessary to provide authentication, sessions, security, preferences, preview access, and other website functionality.
Optional measurement and advertising
Our Privacy Choices controls distinguish Necessary storage (always on), Analytics (optional), and Advertising (optional). Optional categories are off until you choose to allow them. No optional analytics provider is currently enabled. We remember your choices in this browser for up to 180 days. You can accept all, reject non-essential technologies, or manage individual preferences through the banner and the permanent Privacy Choices link. Browser Global Privacy Control disables advertising tracking.
When you permit Advertising, the Spotify Pixel measures visits to our public prelaunch page and newly completed early-access signups so we can understand advertising performance. Spotify may receive page and referrer information, IP address, browser/device information, cookie identifiers and these events. Spotify may use this information to attribute visits and conversions to ads under its own privacy practices. This integration does not send signup names, emails, ZIP Codes, account types, candidate profiles, applications, messages or résumés as event parameters. Advanced matching and automatic parameter capture must remain disabled. The pixel is not loaded on account, hiring, billing, job, or authentication pages.
Rejecting or withdrawing Advertising prevents future events from this integration. Withdrawing after the pixel loads refreshes the page to unload it; it does not undo data already sent or delete cookies controlled by Spotify. Your browser settings can also clear stored cookies. Early-access email updates are separate from advertising consent and do not require it. Spotify Privacy Policy.
Opening a valid referral link stores a first-party referral cookie for up to 30 days so we can attribute a subsequent signup. The last valid link replaces prior attribution, and signup clears the cookie. This is not an advertising cookie.
If Crews4U later introduces additional analytics, advertising, or tracking technologies that materially change these practices, this Privacy Policy may be updated accordingly.
Candidate Referral Records
We store referrer and referred-account identifiers, signup and verification times, aggregate progress, Pro reward timing and refund records. We also store a one-way digest of a normalized email address to detect duplicate referrals, including certain email aliases. The digest is pseudonymous personal information, not anonymous data. Referrers receive only aggregate progress and their own reward/refund status—not invitees' names, emails, profiles, account types or purchases. Records are used for attribution, reward delivery, payment reconciliation and abuse review; necessary transaction and anti-abuse records may be retained after account deletion under our retention practices. Stripe processes purchase and refund information. Referral participation does not enable discovery or marketing consent. Crews4U does not upload your address book or automatically send invitations for you.
The browser may store device-local recovery drafts for candidate profiles, new job postings and job edits. Drafts are isolated by account and form or job, expire after seven days and are cleared after a successful save or sign-out. File attachments, passwords and agreement confirmations are excluded. A restored draft remains unsaved until you submit it. Browser history stores screen and record identifiers and certain search filters, while screen snapshots and scroll positions are kept in memory. Other users of the same device may have access to its browser storage; sign out and use the draft controls on shared devices.
8. Information Retention
Unverified Crews4U accounts may be automatically deleted after 30 days.
Other information may be retained for as long as reasonably necessary to operate the Service, maintain accounts and hiring records, provide purchased services, maintain transaction records, resolve disputes, investigate reports, prevent fraud or abuse, enforce agreements, protect users and the Service, and comply with legal obligations.
Closing a job does not necessarily delete applications, messages, interview information, or other records associated with that job.
Some information may remain in backups, security records, transaction records, or other systems for a period of time after account information is changed or deleted where reasonably necessary for legitimate operational or legal purposes.
When a company closes its account, the current company-closure process sets hiring-record retention for one year and billing-record retention for four years from closure. Retention cleanup is subject to legal holds and operational processing. Agency tasks are included in hiring-record cleanup. These periods describe this closure process and are not a promise that every record or backup is deleted on the same day.
9. Security
Crews4U uses administrative and technical measures intended to protect account, candidate, employer, application, and other information from unauthorized access, use, alteration, or disclosure. These measures include authentication and access controls and may include rate limiting and other security protections.
No internet service, database, or electronic storage system can guarantee absolute security. Users are responsible for protecting their passwords and account credentials.
10. Your Choices and Requests
Users may update certain candidate, employer, company, account, and settings information through the Service where those controls are available.
You may contact Crews4U LLC to request access to, correction of, or deletion of personal information associated with your account. Requests may be subject to identity verification and to information Crews4U LLC must or is permitted to retain for legitimate business, security, transaction, hiring-record, dispute-resolution, or legal purposes.
Privacy requests may be sent to admin@crews4u.com.
You can turn employer discovery and agency discovery off through profile visibility controls. This affects future discovery and new outreach, not existing applications, opportunity conversations or copies lawfully retained by a recipient. Candidates can export their account data and request account deletion; company administrators can export company records, including recruiter tasks, and use the company-closure controls. Requests to a hiring company concerning its independent copies should also be directed to that company.
11. Legal and Safety Disclosures
Crews4U LLC may preserve, use, or disclose information when reasonably necessary to comply with applicable law, legal process, or lawful governmental requests; enforce agreements; investigate fraud, abuse, or security incidents; protect the rights or safety of users or others; or protect the integrity of the Service.
12. Business Changes
If Crews4U LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information associated with the Service may be transferred as part of that transaction, subject to applicable law.
13. Age Eligibility and Children's Privacy
Crews4U accounts and account-based features are intended only for individuals who are at least 18 years old. Crews4U does not knowingly permit individuals under 18 to create or maintain accounts. If we learn that an account belongs to an individual under 18, we may restrict or terminate the account and take appropriate steps to delete or otherwise handle associated personal information, subject to applicable legal, security, and record-retention requirements.
14. Changes to This Privacy Policy
Crews4U LLC may update this Privacy Policy as the Service, its features, service providers, business practices, or legal requirements change. The effective date at the top identifies the current version.
When appropriate, Crews4U may provide additional notice of material changes or request renewed acknowledgment or consent.
